Here’re the 3 steps to organize your bidders conference effectively:

Step 1 – Develop List of Suppliers

Step 2 – Inform Key Personnel

Step 3 – Convene Bidders Conference

Step 1 – Develop List of Suppliers

With the text of the RFP complete, your task will shift to determining who should receive the RFP.

Begin your list by naming current suppliers’ with whom you’ve had positive experiences.

These three criteria will help narrow your list:

  1. Experience of each supplier in providing industrial gas services to optimize the entire industrial gas supply chain.
  2. Capability in taking responsibility for product availability and safety.
  3. Presence – multi regional presence to secure standardized products and services

Step 2 – Inform Key Personnel

Next, you’ll inform your key personnel that an RFP will be released.

Through your earlier communications, you’ve already informed people affected by the new program of the team’s progress.

It’s public knowledge that you’ve intentions of significantly changing your industrial gas management operations.

Ensure people will direct all inquiries to the responsible person of the team.

Step 3 – Convene Bidders Conference

One challenge in managing the RFP process is ensuring that all bidders receive the same information.

The agenda for the conference should be flexible and include:

  • Introduction
  • Industrial Gas Service Provider Program Goals & Purpose
  • Company & Facility Overview
  • Facility Tour
  • RFP discussion & Q&A
    • General
    • Scope Elements
    • Compensation
    • Concluding Remarks and Restatement of Schedule

As you receive proposals, you should carefully log what you’ve received and scan the proposals for completeness.

For each RFP recipient, you should send a written communication following the proposal submission deadline.
